The first warning of a product problem may not look like a legal claim. It may be a customer email about overheating, a distributor reporting unusual returns or a service technician replacing the same part repeatedly.
If those signals stay in separate inboxes, the business can miss a pattern until injuries, property damage or a costly recall is alleged.
Build one escalation path
Define which complaints must reach quality, legal, leadership and the insurance contact. Preserve the product, packaging, batch data, photographs and communications instead of closing the ticket after a refund.
- Track model, batch and manufacturing date.
- Separate performance complaints from safety concerns.
- Record where and how the product was used.
- Flag clusters across customers or regions.
Do not improvise admissions
Empathy and prompt customer care are important, but employees should not guess at cause or promise compensation before facts are reviewed. Use approved communication and check notification or consent requirements under relevant policies.
