HR may spend months negotiating a health plan, then introduce it with one long email and an attachment. Employees open the document only when somebody is already unwell.

Benefit communication works better as a small programme across the year, with each message answering a question people actually ask.

Teach the moments that matter

Start with enrolment, adding dependants, finding a network hospital, planned admission, emergency notification, reimbursement and escalation. Use screenshots and phone numbers rather than policy language alone.

  • A one-page benefit summary for the refrigerator
  • A wallet-sized emergency contact card
  • A short video showing the cashless process
  • Quarterly reminders about common non-payable expenses

Give managers boundaries

Managers are often the first people contacted during a family emergency. Tell them where to direct the employee without inviting private medical information into team chats or informal spreadsheets.

Collect recurring questions and use them to improve the next message.

What to remember

Measure communication by whether an employee knows the next step at 2 a.m., not by whether the launch email was sent.
